Choose which orders count with order filters

Include or exclude Shopify sales channels and order tags, such as wholesale or point of sale, so your figures show only the trade you want to measure.

Most brands want their dashboards to show one kind of trade, usually online sales. If you also sell in a shop, through wholesale, on draft orders or through a marketplace, order filters let you leave those orders out, or count only the channels you choose. Product filters do the same for products.

Before you start

  • Shopify must be connected.
  • Who can change filters: agency staff, and the owner of a brand that runs itself without an agency.
  • Filters are available on every plan.

Step by step

  1. Open the brand, then Settings, Integrations.
  2. Click the Shopify row to open it, and scroll to Data filters.
  3. Choose the Order Filters tab. The lists are loaded from your store.
  4. Tick entries in any of the four lists:
    • Include Channels: only show orders from these channels.
    • Exclude Channels: hide orders from these channels.
    • Include Tags: only show orders with at least one of these tags.
    • Exclude Tags: hide orders with any of these tags.
  5. Use the Filter… box to search a long list, and Select all or Clear all to change many at once. If a list is empty, click its reload button to fetch the options from Shopify.
  6. Click Save filters. You see "All filters saved".

The same editor appears in the brand setup wizard, under Data filters (optional).

Channels appear as Shopify names them. Apps and marketplaces may show as a number, which is how Shopify identifies them.

Product filters

The Product Filters tab decides which products are scored and analysed: Include Sales Channels, Include Tags, Exclude Tags, Include Vendors, Exclude Product Types and Metafield Exclusion Rules. Saving product filters re-scores your products straight away.

What changes

  • Dashboards, Trading, P&L, Orders, Customers, cohorts, Markets and reports count only the orders that pass.
  • An excluded order still opens from a link. Its record shows Excluded by data filter and a sentence such as "Sold through Point of Sale (pos), a channel this brand's data filter excludes."
  • Channel choices apply to every day straight away. Tag choices apply to each day's sales totals as that day is next rebuilt from your orders. To apply a tag change across your whole history, run the Shopify 12 month sync again (agency staff), or email support@fabrik.ae.
  • Your figures will now differ from Shopify's own totals by exactly the orders you excluded. See "Why do my figures not match Shopify?"

Troubleshooting

  • "The data filters could not be loaded": editing is switched off until they load, so saved filters are never overwritten with blanks. Click Retry.
  • "Failed to load order filter options": Fabrik Analytics could not read your store's channels and tags. Try again in a few minutes; if it repeats, open Fabrik Analytics from Apps in your Shopify admin to renew the connection.
  • "Product update failed, changes saved but product data may be stale until next sync": your filters were saved. Product scores catch up at the next sync.

Frequently asked questions

What is the difference between Include and Exclude?

An include list keeps only orders that match one of its entries. An exclude list removes any order that matches one of its entries. An empty list means no restriction, never nothing.

If I set both a channel and a tag filter, how do they combine?

An order must pass every filter you set: its channel must be included and not excluded, and its tags must include one of the included tags and none of the excluded tags.

Are filtered orders deleted?

No. Every order is still stored. Filters decide which orders count towards the brand's figures. An excluded order still has its own record, marked Excluded by data filter, with the reason.

Are tag and channel names case sensitive?

No. Wholesale and wholesale are treated as the same tag.

Why can't I see the Data filters section?

Filters are set by agency staff, or by the owner of a brand that runs itself without an agency. Client users of an agency-managed brand do not see them. The section also only appears once Shopify is connected.

Do filters change my Shopify store?

No. They only change what Fabrik Analytics counts. Nothing is written to Shopify.
