Each client's Access page shows everyone who can see that client and lets you invite the client's own people, give access to someone you already work with, and remove it again.
Before you start
- You need a role that can manage users. Client Owners can manage their own brand's people too, from Settings, Team. Give access is offered to agency staff only.
- Check the client's seats. Client users and pending invitations count against the seats on its plan: your agency's plan when it covers the client, otherwise the client's own plan.
- Choose the client's account team separately: see Choose a client's account team.
Invite a client user
- Open the client. Under Account, choose Access.
- Choose Invite a client user.
- Enter First Name, Last Name, Email Address and Job Title.
- Choose a Role:
| Role | What they can do |
|---|---|
| Client Owner | Everything on the brand, plus its team, billing and connections |
| eCom Director | Senior client operator, full brand read, targets and annotations |
| Client Manager | View and annotate brand data |
| Marketing Exec | Brand marketing views, and create and edit reports and annotations |
| Client Viewer | Read-only dashboard access |
- Choose Send Invitation. The invitation email goes straight to them. You can also copy the link to share it; the link expires in 7 days.
If the address already has a login, they get access at once and an email saying so: "They sign in with the login they already have. No invitation link is needed."
Give an existing client user access
- On the client's Access page choose Give access.
- Search for the client user and choose them.
- Confirm with Give access.
Invite someone to a whole portfolio
- Open the portfolio, then Account, Access.
- Invite them with a portfolio role: Viewer, Portfolio admin or Portfolio owner. They see every brand in the portfolio.
What you will see
The Access page lists Everyone, with views for Agency staff, Client users and Invited:
- Person and their role.
- Sees it through: "Through the connection" for agency staff, "Through the portfolio", "Home client", or a direct grant.
- Teams: which teams they belong to, so Intelligence actions reach the right person.
- Invitations not yet accepted, with Invited or Expired.
Every client user across all your clients is also listed in Settings, on the Client users tab.
Remove access
- On the client's Access page, open the row's actions.
- Choose Remove access to remove this client only, or Remove user where offered to remove their login. Deleting a login currently needs the agency owner: anyone else sees "Admin access required". See Remove someone's access.
- Confirm.
Troubleshooting
- Invite a client user is greyed out: "Every seat on this client's plan is taken. Upgrade the plan to add more people."
- "No other client user to choose. Invite someone instead.": nobody else exists to give access to.
- "Invitation created, but the email could not be queued. Copy the link to share it.": copy the link and send it yourself.
- An existing login keeps its role: giving access to someone who already has a login never changes their role, so they can only be given access with the role they already hold. Agency staff logins cannot be made client users.
