Send a proposal for a portfolio

Send one proposal for a whole portfolio, choose how the retainer is charged and how many brands it covers, and see how brands joining later are handled.

2 min readUpdated 28 October 2026

A portfolio proposal covers every brand in a portfolio with one contract and one invoice a month, with a line per brand. When the client signs, every brand in the portfolio becomes your client at once.

Draft it

  1. Open any brand in the portfolio and go to Reports.
  2. Choose Order form for the portfolio.
  3. Draft and price it as in Send a proposal and get it signed. The side panel has a Portfolio section as well.

Choose how the retainer is charged

Under Portfolio, Retainer charged:

  • One fee for the portfolio: the retainer is the portfolio's fee, on one line.
  • The retainer for each brand: each brand is charged the retainer, one line per brand.
  • A base fee, plus each brand beyond those included: the retainer covers Brands in the base, and Each extra brand a month is added for every brand after them.

Then set Brands permitted, the most brands the contract covers. Under Price, the lines show exactly what each month's invoice would hold.

Choose how commission is judged

Under Commission targets:

  • The portfolio's summed target: commission is worked out on the portfolio's brands together, against their combined target.
  • Each brand's own target: each brand pays commission above its own target.

When the contract starts, the portfolio's Pool targets across brands setting is set to match, so plans and pacing agree with what was signed.

What the client sees

The terms page names the portfolio and the brands covered, how the retainer is charged, how many brands are permitted, and how commission is judged.

Brands joining or leaving later

  • Within the brands permitted: the brand is covered from the month it joins, and the portfolio's billing contacts are emailed. No new signature is needed.
  • A brand leaving: it is no longer billed from the next month, and the billing contacts are emailed.
  • Beyond the brands permitted: your owners are emailed. The extra brand is not charged until a new version is signed.

Frequently asked questions

Does each brand get its own invoice?

No. A portfolio's contract is one invoice a month, with a line for each brand.

What happens when a brand joins the portfolio later?

If the contract has room under Brands permitted, the brand is covered from the month it joins, and the portfolio's billing contacts are told by email. Nobody needs to sign again.

What if more brands join than the contract permits?

Your owners are told. A brand beyond the number permitted is not charged until a new version of the proposal is sent and signed.

Can I change pooled targets after the contract starts?

Not on its own. The signed contract decides whether commission is judged on the portfolio's summed target or each brand's own. Send a new version to change it.
