Share a report link and stop sharing it
Publish a report to get a live link anyone can open without signing in, present it full screen, and unpublish it to stop the link working.

A published report has its own web address. You can send it to anyone, present from it in a meeting, or embed it in your own update. Unpublishing it switches the link off.
Before you start
- You need permission to edit reports to publish or unpublish.
- The report must be published before its link works. Drafts cannot be shared.
Step by step: publish and copy the link
- Open the report in the editor.
- Select Publish in the toolbar, then Publish now. A message confirms Report published.
- Open the same menu (it now reads Published) and choose Copy share link. A message confirms Link copied to clipboard.
- Paste the link wherever you need it.
You can also copy the link from the Reports page: on the report's row, select the copy icon (Copy share link).
Step by step: present a report
- Publish the report.
- Select Present in the toolbar. The report opens full screen in a new tab, ready for client review.
- Use the controls on the shared page to move between pages, zoom, and go full screen (press F).
To open the shared page without presenting, choose Open public link from the Publish menu.
Step by step: stop sharing
- Open the report in the editor.
- Open the Published menu and choose Unpublish.
- Or, on the Reports page, select the eye icon on the row (Unpublish).
The report goes back to draft and its link stops working straight away. Publishing again brings the same link back.
Step by step: replace a link that went to the wrong person
- Open the report in the editor.
- Open the Published menu and choose Create a new link, then confirm.
- The old link stops working for good, for everyone who has it, even if you publish again. When the report is published, the new link is copied for you (New link created and copied).
What you will see
- On the Reports page, the report's status changes to Published or Draft.
- The shared page shows the report with a page list, zoom controls and a Download PDF button.
- Someone opening an unpublished link sees Report Not Found and "Report not found or not published."
Good practice
- Publish only once the notes and next steps are finished. Anyone with the link sees your edits as soon as you make them.
- Send the link to named people rather than posting it publicly. It opens without a sign-in.
- For a monthly series, each edition has its own link. Share the new edition's link each month, or set up delivery so it goes out for you.
- Unpublish old editions you no longer want seen.
Troubleshooting
- The link shows Report Not Found. The report has been unpublished or deleted. Publish it again, or send a new report.
- The figures on the shared page differ from the app. The shared page uses the report's own period and comparison. Check them in the editor's settings.
- A link was shared with the wrong person. Choose Create a new link in the Published menu. The old link stops working for good.
