From finding to done: working through Intelligence

The whole loop, end to end: how a finding is raised, where it reaches you, who owns it, how you act and record why, and how you see if it worked.

This guide follows one finding from the moment Intelligence raises it to the moment you can see whether your fix worked. Each step links to the article with the detail.

Before you start

  • Intelligence is part of the Pro plan and above. A brand whose agency's plan covers it is never locked.
  • Findings are only worked out for brands that are being served: with an active agency link, in the final month of offboarding, or on their own plan or trial.
  • Put people in teams first. Each finding belongs to one of nine teams (Trading, Paid Media, CRM & Retention, Content, Merchandising, Buying, Operations, Finance, Data), and Actions opens on your own teams. See How teams decide who sees each action.

1. A finding is raised

  • Every brand is checked once an hour, plus a full run early each morning (UTC). Each check reads the data that has synced from Shopify, Meta, Google Ads and Klaviyo by then.
  • A check only raises a finding when it is large enough to be worth money or attention and clear enough to trust. Small samples, changes inside normal variation and results that could be chance are held back on purpose. A run that finds nothing is usually right.
  • Each finding goes to the team its rule names, for example a sold-out key size to Buying, an overspent market to Paid Media.

3. Read it and decide

  1. Open the brand and choose Intelligence, then Actions. If you are in a team, the list opens on My teams.
  2. Select an action to open it. Read the headline figure, the suggested step for your team and the table of products, campaigns or markets involved.
  3. Look at What was changed in this area: the recorded changes in the last 30 days that might explain it. These are candidates to check, not proven causes.
  4. Decide: act on it, pass it to the team that should (by adding that person to the team), or leave it if it does not apply.

4. Act, then record it

  1. Make the change in the platform concerned: Shopify, Meta Ads Manager, Google Ads or Klaviyo. Intelligence does not change your accounts for you.
  2. Back on the action's card, row or window, choose Actioned (you made a change and want to see if it clears) or Mark done (nothing more to do). A message confirms Marked actioned or Marked done.
  3. Once your change has synced, open Intelligence, Timeline, find it and choose Add why so the reason sits beside it for everyone.
  4. If what you did is not something a platform records, such as a price promise on social or a delivery delay, add a custom event from the Timeline menu on the Dashboard, under Add event.

5. See whether it worked

  1. Open Actions and choose Done.
  2. Read Did it work for your action: Finding cleared since, Finding still open, Too early to tell or Not measured.
  3. A finding that is still open after a fair wait has not been fixed. Choose Reopen to put it back on the open list and look again at the table inside it.

A finding also closes on its own when the next complete check no longer finds the problem, about an hour after your fix has synced. A check that could not read one of its sources closes nothing.

Troubleshooting

  • An action has no Mark done or Actioned buttons. It opens a page, such as the Trading overview, rather than a window. It closes on its own when the check no longer finds it.
  • The list is the same every week. The condition is still true. Read the table inside the finding for the product, campaign or market still causing it.
  • Something looks wrong. Email support@fabrik.ae with the brand and the finding's headline.

Frequently asked questions

Will the bell tell me about a new finding?

No. Findings are not sent to the bell or by email. They wait for you on Intelligence, Actions. Agency staff also see a count of open client actions per team in Needs you on Home.

How often should we go through Actions?

Once a week suits most teams, with a quick look on the day after a big change, such as a launch or a sale. Checks run every hour, so the list is current whenever you open it.

What is the difference between Mark done and Actioned?

Mark done means there is nothing more to do. Actioned means you have made a change and want to see whether the finding clears. Both move the action to Done, where Did it work shows the outcome.

Can I put an action aside for a week?

Yes. Choose Snooze, then For 7 days or For 30 days. The action leaves the open list and comes back on its own when the time is up, if the check still finds it.

Why is the list empty when sales are down?

Intelligence stays silent unless a finding is large enough to matter and clear enough to trust. A quiet list usually means nothing passed those tests, not that nothing happened. Read the Trading Overview for the figures themselves.

Who should record why a change was made?

Whoever made it. Add why on the change in the timeline keeps the reason next to the change, so the next finding that names it as a candidate cause carries the explanation with it.
