Key size sold out alerts

What a key size sold out alert means, how a best seller and a key size are decided, what Buying and Paid Media are asked to do, and how restocks are measured.

When a best-selling product runs out of one of its most important sizes, you lose sales every day it stays out. The key size sold out alert tells you as soon as Intelligence sees it, with the figures that show why it matters and a reorder suggestion.

Before you start

  • Plan: Intelligence, on the Pro plan and above.
  • Shopify: connected, with inventory tracked on the product's variants. Stock updates arrive from Shopify as they happen.
  • For the full picture: the web pixel (for product page conversion) and Meta or Google Ads (for ad return and spend) connected. Without them the alert still fires, with fewer figures.

How Intelligence decides

An alert is raised when all three are true:

  1. The product is a best seller. Its revenue over the last 60 days is in the top tenth of the brand's selling products, and it sold at least 10 units over the last 90 days.
  2. The size is a key size. The size makes up at least 18% of the product's units over 90 days, or more than an even share across its sizes, whichever is larger. For a product in several colours, the share is worked out within the sold-out colour.
  3. The size is sold out now. A tracked variant of an active product is at zero or below.

Up to five products are raised at a time, and only where the monthly sales at risk are meaningful.

What the alert says

The alert is titled with the product, the size and the colour, for example Fellwick Wool Coat: key size M in Navy sold out. It explains:

  • the size's share of the product's units;
  • since it sold out, the product page's conversion and its ad return, each against the 14 days before (shown only when there is enough traffic or spend to compare fairly);
  • ad spend that went to the sold-out variant since it ran out;
  • an estimate of lost sales, clearly marked as an estimate.

What each team is asked to do

  • Buying: reorder the sold-out size, with a suggested quantity, plus any other size of the same colour that will run out before new stock could arrive. Quantities use the brand's lead time and minimum order quantity.
  • Paid Media: move spend off the product until the size is back.

Step by step

  1. Open Intelligence, Actions. Key size alerts appear under Buying and Paid Media.
  2. Select the alert to open it and read the figures and the suggested quantities.
  3. Place the reorder in your usual way and adjust ads in Meta Ads Manager or Google Ads.
  4. When the size is back in stock, the alert closes on the next complete check.

What you will see afterwards

  • The Timeline records the sell-out, and the restock once two or more units are back, for products that matter (selling at least 26 units in 60 days, or in the top 20 products).
  • In Actions, Done, the card Key sizes restocked, and what happened after lists each product and size that came back, with Conversion since and Ad return since. A size sold out for only a few days is marked as a thin comparison. These are outcomes, not proof the restock caused them.

Troubleshooting

  • "No key size has sold out and come back yet" on the restock card means nothing has completed the full cycle yet.
  • A size shows as sold out but you have stock. Check the variant's inventory in Shopify, including which locations are counted. Intelligence reads Shopify's figures.
  • Reorder quantities look wrong. Check the lead time and minimum order quantity in Settings, Brand, Merchandising defaults.

Frequently asked questions

Why did I not get an alert when a size sold out?

The alert only covers best sellers and their key sizes. A slow seller, or a size that sells only a small share of the product, does not raise one. The stock must also be tracked in Shopify and the product active.

Is the lost sales figure exact?

No. It is an estimate from how fast the size sold before it ran out and its price, and the alert says so.

Does the alert pause my ads?

No. It suggests that Paid Media moves spend off the product until the size is back. Nothing in your ad accounts is changed.

Does the alert close when the size is back in stock?

Yes. Once the size is no longer sold out, the next complete check no longer finds it and the alert closes. What happened after the restock is then shown in Done.

Can the thresholds be changed?

Agency staff can change the rule's thresholds for one brand in Settings, Intelligence rules, on the Pro plan. Reorder quantities use the lead time and minimum order quantity in Settings, Brand, Merchandising defaults.
